Organizational Setting
The main aim of the Food and Agriculture Organization's (FAO's) Representation in Egypt, which is headed by an FAO Representative, is to assist the Government of Egypt to develop policies, programmes and projects to improve food security and nutrition, promote sustainable agricultural development, reduce rural poverty, develop inclusive agri-food systems and strengthen livelihood resilience – in line with the Organization's Strategic Objectives and United Nations' global and Government of Egypt's national Sustainable Development Goals.
FAO is implementing a project entitled "EU for Hayah Karima - EU support to Rural Development, Climate Change Resilience and Nutrition" in Upper Egypt. The Action is in line with a major Egyptian initiative, "Hayah Karima" (Decent Life), launched in 2019 initially for five years, which seeks to improve the life and livelihoods of 57 million Egyptians in rural areas by renovating local infrastructures, upgrading basic services, and creating jobs.
The project will support rural development, food and nutrition security, and climate change resilience in 120 villages in Assiut, Sohag, and Qena governorates. It is focused on supporting the farmers in improving agriculture and irrigation techniques and rural communities' income generation through employment and skills development opportunities. FAO action will help in managing food losses through value chain analysis and value addition of income-generating crops, transformation of agricultural waste into economic secondary products, and strengthening the capacity of value chain actors in food safety and waste management.
Reporting Lines
The Project Assistant will work under the direct supervision of FAO Representative in Egypt, the day-to-day guidance of the Project Manager, and in close collaboration, FAO country office and project personnel.
Technical focus
The Project Assistant performs a wide range of routine administrative and financial functions in support of the delivery of the projects.
Tasks and responsibilities
- Assist in tracking the progress of ongoing activities to ensure compliance with the approved work plan and deadlines,
- Consolidate data and outcomes from activities to contribute to reporting efforts.
- Support the organization and coordination of workshops, consultations, training sessions, and other project events, including all related logistical arrangements and preparation of materials.
- Provide background information, research, and input for reports, presentations, and communication materials showcasing project progress and achievements.
- Support the coordination of supervisory missions and the overall implementation of the project.
- Maintain project records, filing systems, and contact databases.
- Ensure timely settlement of project advances and related financial matters.
- Arrange appointments, receive visitors, manage correspondence, and respond to routine requests for information.
- Provide administrative and logistics support to project meetings, committees, and missions.
- Compile and organize reference materials from various sources for reports; create spreadsheets, presentations, and maintain updated mailing lists.
- Participate in project meetings, prepare and share meeting minutes, and follow up on agreed actions.
- Support overall project monitoring, summarizing results of surveys and findings from meetings.
- Perform other relevant duties as assigned by the supervisor.

Context
Under the overall supervision of the Medical Programme Coordinator and direct supervision of the National Migration Health Project Officer, the Health Project Assistant will be tasked with assisting in the implementation of the health assistance projects to migrants, within the Migration Health Division (MHD) – H2.
Responsibilities: 1. Contribute to establishing and/or maintaining strong and regular contacts with Government entities, civil society organizations, UN agencies, donors and other stakeholders pertaining to the Medical Assistance projects and MHU programmes.
2. Assist in exploring and identifying new project opportunities related to the IOM Egypt Strategy, government and partners' needs, donors' priorities and migrants' context and situation.
3. Support the coordination, planning and implementation of health projects' activities with focus on health assistance provision to most vulnerable categories as victims of trafficking, children, and vulnerable migrants.
4. Keep abreast of best practices relating to health promotion and health service provision to vulnerable migrants.
5. Assist in monitoring and evaluating all project aspects, according to IOM standards & procedures as well as donor requirements/standards.
6. Monitor implementing partners as healthcare providers and referral partners.
- Provide inputs to project reports and updates and assist in ensuring proper information exchange on all operational aspects of MHU projects between IOM, donors and other project counterparts.
- Facilitate payments for health services provided through direct relationships with hospitals for effective admissions.
- Support all administrative, operational, and logistical tasks related to training sessions, roundtables and events with beneficiaries, civil society organizations, embassies, and other relevant stakeholders, Writing related reports.
- Participate at seminars, meetings and events aimed at promoting IOM's image and activities.
- Provide unofficial interpretation English-Arabic/Arabic-English at bilateral or multilateral meetings and other events (seminars, workshops, etc.); draft and translate documents (minutes, reports, notes for file, agenda, concept notes) when requested.
- Support the development of new migration health projects and concept notes and following up with funding applications and donors.
- Conducting health awareness sessions along with the migration health division team to vulnerable migrants on different health topics.

Qualifications: Education
Completed university degree from an accredited academic institution in Public health, Medicine, or related field with 3 years of experience
Secondary degree with 5 years of experience
Accredited Universities are those listed in the UNESCO World Higher Education Database .
Experience
Two years' experience in organizing events, such as training, workshops, awareness raising
campaigns, etc. and producing pertaining documentation.
Sound knowledge of Humanitarian Medical assistance is an advantage.
Sound knowledge of healthcare, financial and administrative management is an advantage.
Experience in IOM administrative and financial management, budget monitoring, cash management and internal control procedures.
Experience in the usage of office software packages (MS Word, Excel, etc.) and knowledge of spreadsheet and data analysis.
Skills
In depth knowledge of the broad range of migration related subject areas dealt with by the Organization; and
Knowledge of UN and bilateral donor programming.

Languages

The Executive Assistant Project Manager will be responsible for supporting project management activities, expediting processes, coordinating logistics, and conducting inspections. Daily tasks include managing project timelines, ensuring efficient workflow, and liaising with various stakeholders to ensure project objectives are met.

- Skills in Expediting and Expeditor roles
- Experience in Project Management and Inspection
- Expertise in Logistics Management
- Strong organizational and communication skills
- Ability to work efficiently in a team and independently
- Proficiency in using SAP is an advantage
- Bachelor's degree in Engineering, Applied arts, or a related field is preferred
- Experience in the furniture or manufacturing industry is a plus
