**Program Coordinator**

***Primary Duties and Responsibilities**:
Under the supervision of the Trade Services Manager, the Program Coordinator R2 (PC-R2) will have a wide range of duties and responsibilities aiming at coordinating Result 2 resources, meetings, information, and various activities with partner trade support institutions. S/he will organize and streamline activities with the goal of getting them completed within assigned time, budget, and scope.
Within the broader scope of the project, the PC-R2 will organize the various parts of activities with different project teams and with partners to ensure its success. This includes monitoring daily tasks and communication, as well as regularly creating reports and updates for Result 2 team to ensure that activities are aligned with the Result’s yearly plan. The PC-R2 will serve an essential role in effective activities management.
The PC-R2 will be assigned with specific administrative tasks related to their assigned projects and activities with partners. S/he organizes and communicates all the details of activities and specific assignments to Result 2 team members and serves as a liaison between those team members and members of other teams.

**TASKS**
- ** **Monitors the daily progress of projects and activities with partners to keep Result 2 work on track.
- Provides detailed updates to the Trade Services Manager and Result 2 partner Trade Support Institutions.
- Plans meetings with Result’s partners.
- Coordinates and monitors Result’s activities plans and schedules.
- Organizes, and participates in assigned stakeholder meetings.
- Documents and follows up on important actions and decisions from meetings.
- Prepares necessary presentation materials for meetings.
- Ensures project deadlines are met.
- Performs other duties and tasks at the request of Result management.
- Undertakes project tasks as required.
- Ensures activities adhere to frameworks and all documentation is maintained appropriately for each activity.
- Creates a yearly Result 2 calendar for fulfilling each goal and objective.

**Required Qualifications**:

- Bachelor’s degree in business administration, social sciences, economics, or any relevant discipline.
- 1-3 years of relevant work experience providing similar support, preferably in an international organization or donor agencies.
- Strong interest in development cooperation, with prior work experience/internships in international development cooperation being an asset.
- Very good command of English and Arabic languages, both spoken and written.
- Proficiency in MS Office programs (Word, Excel, PowerPoint, and Outlook).
- Strong mindset for continuous improvement and meeting or exceeding expectations and able to demonstrate complete discretion and confidentiality.
- Superior verbal and written communication skills, with an emphasis on tact and diplomacy.

**Position Overview**

+ Tracking of the reported adverse event on the patient's tracking sheet.
+ Perform regular Adverse event reconciliation ahead of sharing with client.

**WHAT WE CAN ACHIEVE TOGETHER**:
The Program Project Manager will work as part of the Organizational Strategies team within the People Team Business Unit. They will be responsible for using proven team management approaches to support high priority, large, complex conservation project teams in project planning and implementation by utilizing a Conservation Guidebook for Project Management, working closely with our Chief Conservation Office and utilizing the Highly Effective Teams® approach for projects. The Program Project Manager will support global strategy leadership and work with high priority client teams to establish project goals and success factors and develop project plans, budgets, metrics and schedules with input and buy-in from key stakeholders and team members. They will serve as a technical resource to coach clients to critically assess project scope and objectives, ensuring all risks and dependencies are addressed in the project plan in order to deliver successful project results that support the fulfillment of the objectives. They will support clients to define roles and responsibilities, engage team members, and lead the project teams to successfully achieve identified goals in the most cost-effective and time-saving manner possible.

The Program Project Manager will build into project plans go/no-go decisions at all project decision points from the Project Lead or Sponsor. After the initial set up and structuring of the client team’s strategy or project, the Program Project Manager II may help the client team identify and onboard a long-term Project Manager or short-term Acting Project manager, allowing the Program Project Manager II to move on to working with a pipeline of high priority teams needing upfront structuring and planning coaching and support. As needed and available, at times the Program Project Manager II may re-engage with clients for whom they helped set up team strategy and project structures in order to support risk management, issue resolution, and conflict management, and collaboratively solve complex problems. At times they may perform short-term Acting Project Manager roles if the strategic importance of the work demands the high level of project management expertise possessed by the Program Project Manager II. They will travel occasionally, working long and flexible hours as needed. Their work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.

**COMPANY DESCRIPTION**

The Program Lead is responsible for coordinating the smooth implementation of the department programs and day-to-day activities. The Program Lead develops and monitors program timelines and other related templates to ensure timely delivery of all activities. S/he coordinates all logístical activity and reports to the Program Manager on any delays. S/he develops all required reports and works closely with the Project Specialist on selected programs. The Program Lead also ensures accurate documentation of all department files. S/he establishes and increases relationships with partners and other Amideast departments and branches. The Program Lead may also support several different projects across departments based on business need.
**RESPONSIBILITIES**
- Support high-quality implementation and monitoring of relevant grants, scholarships exchange programs as per program contracts and Amideast designated scopes of work
- Prepare and submits accurate and timely technical, and financial reports to partners, donors, and Amideast HQ.
- Based on business need, coordinates accurate and timely delivery of all documents related to SAT certification from and to Customer Service
- Oversee all fee-for service activities (for example, certifications, summer camps, and internships) including budgeting costs, accurate management of all program details, and customer satisfaction.
- Contribute to the development of new exchange program concept papers and proposals that serve Amideast’s mission, vision, and value for Egypt
- Identify and implements approaches to build on Amideast’s current programs to develop institutional capacity and initiate new programs
- Contribute to monitoring of budgets for all exchange programs
- Maintain collaborative relations and connections with other Amideast departments (English Language, Testing, Customer Service)
- Actively network and maintain relations with relative HQ staff, other Amideast Cairo and Alexandria department staff and different partners (Donors, educational institutions, NGOs etc.)
- Conduct outreach activities including public speaking, media interviews and other opportunities to promote awareness of Amideast programs
- Actively networks with local and international organizations and institutions involved in exchange programs and keep abreast of changes and developments in Egyptian public and private education at the highest levels to identify opportunities for Amideast
- Follow-up and monitor communication with all partners
- Delegate tasks and monitors specialist, assistant, interns, and volunteers
- Plan, develop, monitor, and adjust (if required) program activities according to goals and specific objectives
- Participate in setting, reviewing, and implementing department strategies, goals, and objectives
- Replace the associate manager in his/her absence**Qualifications and Skills**

**_Required_**
- B.A. and five years of related project management experience
- Excellent in spoken and written English
- Fluent in Arabic
- Excellent oral and written communication and interpersonal skills
- Demonstrative creativity and initiative

- Ability to multi-task and prioritize responsibilities
- Ability to work independently and accept responsibility
