A Telephone Operator accepts, delivers and responds to Guest and management messages, enquiries and emergencies and uses their knowledge of the hotel facilities, services, and the local vicinity to quickly respond to the customer.

**What will I be doing?**

As a Telephone Operator, you will accept, deliver and respond to Guest and management messages, enquiries and emergencies using their knowledge of the hotel facilities, services, and the local vicinity to quickly respond to the customer. A Switchboard Telephonist contributes to the first impressions of our Guests and, therefore, must perform the following tasks to the highest standards:

- Achieve positive outcomes from Guest queries in a timely and efficient manner
- Accept and deliver all messages correctly and promptly for both Guests and management
- Ensure all wake up calls take place at the correct time
- Demonstrate knowledge of all hotel facilities and service and use up-selling techniques to promote these offerings when the appropriate
- Handle emergency calls immediately and relay comprehensive and accurate information, as required
- Demonstrate a high level of customer service at all times
- Comply with hotel security, fire regulations and all health and safety legislation
- Attend appropriate training courses, when required
- Demonstrate a knowledge of all hotel services, local attractions and landmarks in the hotel vicinity
- Follow company brand standards
- Assist other departments, as necessary

**Trucking/ Custom Clearance Operations**:

- Receive quotations requests (Trucking & Custom Clearance) from the sales department/ Ocean Freight Operations.
- Provide the required trucks on a timely manner according to the customer’s request.
- Manage the process and delivery of cargo transported by Vessels.
- Monitor trucking conditions, delivery status and customer concerns.
- Follow up with trucking customers regarding outstanding payments.

**Customer Focus**:

- Act as focal point between customers and truckers on daily basis.
- Source new trucking providers and make initial due diligence on potential vendors.
- Maintain relationships with existing trucking customers/ accounts.
- Build strong relationship with trucking, vendors and agents to acquire best price rates.

Qualifications:

- 2-4 years of experience in the Trucking field/ Logistics.
- Bachelor's Degree or equivalent preferably in Transport/Logistics Management.
- Flexible to communicate with different types of stakeholders (Truckers and clients).
- Excellent in MS Excel, MS Word, PowerPoint and familiar with Sales ERPs.
- Very good combination of good interpersonal and communications/presentation skills.
- Very good command in written and spoken English.

**Operational Role**:

- Cooperate with boarding team to ensure services are rendered up to principal’s satisfaction
- Ensure on ground operations are done efficiently in accordance to business plan and objectives for operations team
- Relay requirements from Principal/ shipper/ consignee to boarding team
- Maintain good relationship with principals, authorities, and suppliers
- Assist Operations & BDM in all ships under their management

- Ensure all customs documentation relative to vessel and cargo clearances are in place
- Provide data to accounting team to issue the financial reports and DA’s
- Prepare reports on actual on ground operations for management/ clients
- Update company IT platform (IST) with all operational records

**Qualifications**:

- 3-5 years of relevant experience
- Prior experience in Logistics/ shipping agencies is a plus
- Bachelor’s degree (Preferably in Logistics)

**Responsibilities**:
Ability to manage customization requirements and control data quality to improve software development efficiency and information asset quality
