Job summary

The Fleet Operations Supervisor is responsible for overseeing daily fleet operations to ensure the efficient, safe, and timely movement of vehicles and drivers. This includes supervising dispatchers and team leaders, managing vehicle availability, ensuring compliance with company policies and transport regulations, and optimizing fleet performance.

Main responsibilities

  • Accountability
  • Fleet Operations Oversight
  • Supervise daily dispatching activities and ensure vehicle assignments meet operational requirements.
  • Ensure timely execution of transport schedules and customer deliveries.
  • Manage vehicle availability, route planning issues, and asset allocation.
  • Lead and supervise dispatchers, team leaders, and sometimes drivers.
  • Monitor staff performance and provide coaching or corrective action when needed.
  • Schedule shifts, assign duties, and ensure adequate staffing for operations.
  • Monitor vehicle movement and trip execution using GPS and tracking tools.
  • Address operational issues such as delays, route deviations, or breakdowns.
  • Coordinate corrective actions or escalations with relevant departments (maintenance, safety, etc.).
  • Ensure adherence to transport laws, driver working hours, and company policies.
  • Verify driver and vehicle documentation is valid and up-to-date.
  • Report and investigate any incidents, accidents, or violations.
  • Track key fleet performance metrics (on-time delivery, utilization, downtime, etc.)
  • Analyze performance data & Identify trends, inefficiencies, and areas for improvement.
  • Prepare daily/weekly/monthly operations reports for the Fleet Manager.
  • Act as the point of contact between operations and management.
  • Coordinate with maintenance, HR, and logistics teams to support fleet needs.
  • Support implementation of fleet policies, SOPs, and continuous improvement initiatives.

Job requirements

  • Required qualifications
  • Minimum - Bachelors degree in Business Administration, Operations Management, or a related field.
  • Preferred qualifications
  • Masters degree in Business Administration or related field
  • Required experience 8+ years of experience in fleet/transport operations including 2 years supervisory experience
  • Proficiency in Microsoft Office and fleet management / transport management systems.
  • Knowledge of operational and legal requirements of heavy transport
  • Preferred experience Experience in managing large fleet.

  • Operational Processes Understanding of daily operations, workflows, and standard operating procedures.
  • Budgeting and Financial Oversight Knowledge of budgeting, cost control, and financial reporting.
  • Compliance and Regulations Familiarity with relevant laws, industry standards, and company policies.

Job Description

The Fleet Maintenance Supervisor is responsible for ensuring the efficient, safe, and reliable operation of all vehicles and fleet equipment. This role oversees daily fleet maintenance activities, manages the maintenance team, and collaborates with operations to support continuous and uninterrupted transportation and delivery services. The Fleet Maintenance Supervisor ensures that all fleet assets are maintained in optimal working conditions, in full compliance with safety, quality, and regulatory standards.

Main responsibilities

Accountability

  • Develop, implement, and oversee preventive, predictive, and corrective maintenance plans for all fleet vehicles and equipment.
  • Ensure timely execution of maintenance tasks to minimize vehicle downtime and ensure service reliability.
  • Maintain high performance and reliability of vehicles through structured maintenance schedules and inspections.
  • Oversee and direct fleet maintenance personnel, ensuring adherence to safety regulations, service standards, and company policies.
  • Supervise and coordinate the daily activities of engineers and technicians, and support staff involved in vehicle servicing and repair.
  • Diagnose Complex mechanical, electrical, and drivetrain issues, ensuring timely and effective repairs.
  • Lead or participate in root cause analyses to prevent recurring vehicle failures or breakdowns.
  • Manage parts inventory to ensure availability of critical components, minimizing vehicle downtime.
  • Maintain accurate records of fleet maintenance, service logs, and inventory usage for audit and planning purposes.
  • Ensure all maintenance activities comply with DOT regulations, environmental guidelines, and occupational health and safety standards.
  • Verify all fleet assets meet legal and operational safety requirements.
  • Monitor and control maintenance budgets; identify opportunities to reduce costs without sacrificing safety or quality.
  • Track and report key performance indicators (KPIs) related to vehicle uptime, repair turnaround time, and maintenance cost.
  • Coordinate closely with operations, dispatch, and logistics teams to align fleet availability with delivery and service schedules.
  • Support cross-functional initiatives to improve overall operational efficiency.
  • Lead initiatives to improve fleet reliability, reduce repair times, and optimize maintenance processes.
  • Foster a culture of continuous improvement and proactive problem-solving within the maintenance team.

  • Approves parts and supplies purchases within budgetary limits.
  • Identifies and implements cost-effective maintenance strategies

Job requirements

Required qualifications

  • Bachelors degree or diploma in Mechanical, Automotive Engineering, or related field.

Preferred qualifications

Certifications in fleet maintenance

Required experience

8+ years of experience in fleet or vehicle maintenance, with at least 2 years in a supervisory role.

Preferred experience

  • Strong knowledge of vehicle diagnostics, diesel/gasoline engines, and fleet management software.
  • Experience in commercial or transportation fleet environments (e.g., logistics, delivery, public transport).
  • Working knowledge of DOT regulations and safety compliance.
  • Strong leadership, communication, and organizational skills.
  • Proficiency in Microsoft Office and maintenance tracking system.

  • DOT & Fleet Safety Regulations In-depth knowledge of regulatory requirements for commercial fleets.
  • Vehicle Systems Understanding of engines, braking systems, electrical systems, and diagnostics tools.

  • Health & Safety Standards Familiarity applicable safety protocols.
