Export Documentation Specialist

Due to the expansions, one of the largest import and Export companies in Behira announces the opening Vacant for a job Export Documentation Specialist

Prepare and Process Documents: Prepare and process all required export documents, including commercial invoices, packing lists, certificates of origin, bills of lading, and letters of credit.

Ensure Compliance: Verify that all documentation is accurate, complete, and in compliance with customs regulations, trade agreements, and specific country requirements.

Coordinate with Stakeholders: Act as the primary point of contact for internal teams (sales, warehouse) and external partners (freight forwarders, customs brokers, carriers) to ensure all information is aligned.

Track Shipments: Monitor the status of shipments and update all parties on their progress.

Problem Resolution: Address and resolve any issues related to documentation discrepancies, shipping delays, or customs holds.

Maintain Records: Organize and maintain a comprehensive filing system for all export records and documents.

Qualifications


• Bachelor's degree in related field


• Export Documentation Proficiency


• strong understanding of international shipping procedures, customs regulations, and various trade agreements.

Main Responsbilities:

1-Execute the tasks relayed to him by his direct Manager smoothly and on time

2-Organize the export operations among different departments of the company

including : Factory , Warehouse , Marketing, Accounting, Purchasing , Regulatory

Affairs, and QA .

3-Follow up with couriers as Middle East, DHL , Aramex…

9-Ensure the timely pick-up and delivery of documents and shipments as agreed.

10- Follow up & delivery of export papers / samples pick up –inside Cairo or out.

11-Dealing with official authorities, if needed

12-Follow-up the production at the factory until the order is ready on time

13-Follow up with the graphic designer to implement the required export designs.

14-Review the designs before presenting them to his direct manager , and inform

the designer about any correction to correct.

15-Follow up the supply of packing materials with the Purchasing Department,

expedite their supply, and review them before sending them to the factory .

16-Daily filing and opening a file for each client / each export order shipment

with shipment paper scanned.

17-Organizing the export data and preparing EXCEL Sheets tables upon request.

18-Follow up with the Lawyer to receive the Authenticated documents from him

in a short time.

19-Protect the privacy and confidentiality of the export department .

Requirements:

  • Business administration, logistics or related field degree preferred.
  • Good English language skills required.
  • Good communication and negotiation skills.
  • Excellent Excel sheet knowledge and Proficiency in Microsoft Office.
  • Preferred 1+ year of experience in logistics , export or import.
